Prepare the handover checklist and document list with the team. Record observations, agreed remedies and contacts. Ask for demonstrations of heating, ventilation and other controls, rather than just receiving manuals.

Keep project documents, completion records and operating instructions in an easy-to-find folder. Formal acceptance and registration procedures must be determined with the specialists involved; this practical checklist does not replace them.

Plan maintenance for the actual materials and equipment: exterior finishes, drainage, seals and filters, following applicable instructions. Ask for explanations if leaks or persistent condensation appear rather than assuming they are normal.

Prepare for the handover visit

Make a room-by-room list instead of trying to remember every observation. Record the issue, exact location, a photo and the agreed response. Separate operating demonstrations from defects to address. The practical visit does not replace formal acceptance procedures.

Ask the team to show you the controls, maintenance access points and contacts for each system. If you do not understand a setting, ask again rather than assuming you can work it out later.

A folder you will still use years later

Keep updated drawings, received documents, warranties, instructions and contacts. Organise them by category with digital copies and relevant photos. Note any outstanding documents and who will supply them.

Photos of concealed service routes help when fitting something later, but do not replace checks and an appropriate fixing solution. If you do not know what is behind a finish, seek help before drilling.

Maintenance routine

  • Read recommendations for exterior finishes and exposed areas.
  • Record equipment maintenance and consumables according to manuals.
  • Monitor drainage and signs of damp.
  • Keep designated maintenance points accessible.
  • Report anomalies early and retain correspondence.

Materials do not all share the same maintenance intervals. Request a schedule for what was actually installed, not a general promise of a maintenance-free home.

Test the home in use, not just empty

Walk the routes, open fitted doors and drawers and ask for equipment demonstrations. In an attic, check places where you stand up, standing areas and window access. Record differences from the agreed design without improvising changes that affect structure or services.

Ask how to shut off supplies in the situations described by the team and whom to contact. Do not intervene in systems you do not understand. Manuals are more useful when you know which model and component each describes.

The first month: record observations

Keep a simple log of the date, room and observation: a rubbing door, an unclear control, unusual noise or moisture marks. Send it to the responsible person and request instructions. Do not cover up a symptom before its cause is understood.

Check that service access remains clear after furnishing. Storage blocking a hatch or appliance can make later intervention difficult.

What to request before information is lost

  • Identification of installed products and finishes.
  • Drawings and recorded changes made during the work.
  • Maintenance instructions and contacts.
  • Records of observations and agreed remedies.
  • Locations and explanations of technical access points.

Possible regret: “We know the company but not whom to ask about this appliance.” Organise contacts by system instead of leaving everything in one long message thread.
